SOAR Summit Payment & Refund Policy & Terms & Conditions

Thank you for being a part of our SOAR Summit Family & Global Community. Whether this is your first time joining us, or you come back each Summit - we’re thankful that you have entrusted us in your SOAR Summit experience. Our goal is for you to have an extraordinary experience with us along every step of our journey together, from the first exchange to the end of SOAR Summit and beyond. We believe an ‘extraordinary experience’ starts with mutually clear guidance and expectations. With this in mind, let us both have clear expectations right from the start. Please read the Payments, Refund and Cancellation Policy & Terms and Conditions PRIOR to payment, which secures your place, at which point shows us you have read and agreed these terms as outlined in this document.

  1. Your Payment Options to Secure your Place

    • There are TWO payment options at the time of booking to secure your place at your chosen SOAR Summit - to pay in full or to pay in instalments (dependent on when you pay to how close the Summit is)

    • If you choose to pay in full, you secure your place immediately. Your payment is non-refundable.

    • If you are choosing the instalments, your 1st payment secures your place immediately. You are committing to all payments. All payments are non-refundable.

    • The instalments amount is determined by how long in advance you are purcahsing your ticket and will be in discussion and agreement with the organisers.

    • All payments are due to be paid in full no later than 6-8 weeks prior to the start date of each Summit as advised. For the SOAR Summit Scotland full payment is due by or on 3rd February 2025.

    • All payments are non-refundable due to the nature of the event, the prior organisation required, it’s exclusivity and the integrity and experience for the other limited number attendees.

    • There are no exceptions to this policy, for any reason. Please consider your circumstances well before placing your deposit/1st instalment. By paying either in full or your 1st instalment, we determine that you have read and agree with these Payment & Refund Policy & Terms & Conditions

  1. Your Payment Options to Secure your Place

    • Your payment dates will be made clear prior to booking and paying your first instalment. By paying your first instalment, you are agreeing to pay the further agreed instalments by the dates shown to you.

    • All payment instalments MUST be made prior to or on the date specified

    • It is your responsibility to ensure payments are made on time. We do not remind you or send out any reminders, but rather give you clarity right from the start with the remaining payment dates.

    • The final payment is due 6-8 weeks prior to the start date of your chosen SOAR Summit or as advised to you by the organisers.

    • There are no exceptions to this policy, ever. If we don't receive your remainder payments on time as outlined above, we will contact you in the first instance to discuss payment and work with you to help you make payment. If we still do not receive it within 24 hours of the due date, we then reserve the right to open your place to another attendee, however you will be advised and this is a final resort. You will receive no refund.

  1. Transfer Policy

    • As above, all payments are non-refundable

    • If you are unable to attend, or make your remaining instalment payments, you have the option to transfer your place at the SOAR Summit to someone else (either that you know or that we know), however you forfeit any Special Offer and the new transfer place must be paid at the price currently in play at the time of transfer. Eg: If you have paid X2 instalments and cannot attend, you can transfer your place to someone else, who will pay the remaining payment of the current price for SOAR Summits at the time of transfer.

    • Before transferring to someone else, our team will have a Zoom call with them to ensure that SOAR Summit is a fit for them and for us. We have the sole responsibility of ensuring they are a fit for our Summit.

    • Should they not be suitable for us or the SOAR Summit for them, your payment becomes non-transferable and non-refundable.

    • Should you not make your remaining payments and have forfeited your place and any special offer you had and at a later date you wish to join us once again, you will have a discussion with us to determine a) if there is a place still available and b) what the remaining payment will be with the current price at the time of you wanting to rejoin us. If your place was not transferred to someone else, your initial payment will be considered in this option and you will pay the remaining on the current SOAR Summit price. (NB: This may be different to the price you first bought at, as above not making payments on time forfeits any special offer you bought under).

    • If you are unable to attend for some reason, transferring to another person is important as a first option in order to keep the integrity, energy and for the sake of all other attendees who are flying in from all over the world. We ensure there are a specific number of participants/attendees to enhance the experience for everyone involved.

  1. Travel & Cancellation Insurance

    • It is your responsibility to read and understand our cancellation policy before making a reservation. Naturally, no one books with the intention of canceling or postponing their place at the SOAR Summit, but unexpected things do happen that can be beyond your and our control. We strongly recommend that you purchase travel cancellation insurance to cover any possible loss. Depending on the policy and conditions, travel cancellation insurance will pay for some or all cancellation fees. With most agencies, insurance must be purchased within 14 days of payment securing your place.

    • To date, we have never cancelled a SOAR Summit and are committed to running them as advertised. However, in unforeseen circumstances, should we have to cancel for any reason, we will move you all to the earliest next available Summit within the next 12 months.

    • We strongly suggest you take out your own travel insurances to cover for any unpredictability with your airline or the event.

    • There is no cancellation nor refund for any reason including but not limited to natural disasters, acts of terrorism, acts of god, strikes, travel bans, missed / delayed / canceled flights, pandemics, covid 19, illness, health conditions, pregnancy, medical or personal or family or work emergencies, or change of mind. If you cannot reach the SOAR Summit due to unforeseen circumstances of any reason, payment is unfortunately non-refundable. We strongly recommend purchasing travel cancellation insurance.

    • We at SOAR Summit are not responsible for any losses, or expenses due to flight or travel delay or changes in schedule, default of any third parties, sickness, weather, strike, acts of terrorism, force majeure*, war, quarantine, criminal activity or any other cause beyond our control.

    • ‘Force Majeure’ Force Majeure / Special Circumstances – Any act, event, omission or accident beyond SOAR Summit’s reasonable control including but in no way limited to Act of God, war, riot, civil commotion, malicious damage, compliance with any law or government order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm, adverse weather, default of suppliers or subcontractors, strikes, lock-out’s, or other industrial disputes, failure of a utility service or transport network. The closure of borders, a national / global health issue, such as a pandemic, World Health Organisation (WHO), the Foreign & Commonwealth Office (FCO) or EU Government advice, for example that it is not safe to travel to our location during a time when a SOAR Summit is scheduled to take place.

    • Under exceptional Special Circumstances only (this does not include any payment circumstances), providing a minimum of 6-8 weeks notice is given by the attendee, SOAR Summit will offer to move/reschedule the attendee’s reservation to an alternative date within 12 months. A medical certificate will need to be provided (if the special circumstances are medical) and evidence of being unable to fly provided by the airline/medical profession. You will have the choice above of transferring your place to someone else and attending another Summit or full transfer to another Summit. This will depend on the time prior to the Summit you have purchased. If there is a difference in rate due to this change and depending on the location of the SOAR Summit, the attendee will be liable to pay the additional cost or be due a refund for the difference of cost. All costs and payments will be non-refundable.

    • The most Special Circumstances transfers are two.

    • If Special Circumstances are within 6-8 weeks of a Summit, deductions will be made for all expenses already outlaid; any out of pocket expenses made prior to the date of notification by the attendee.

  1. Liability

    • Our commitment to an ‘extraordinary experience’ means we put everything in place we can to limit any level of risk to our SOAR Summit team and attendees prior and during the Summit. You receive Information booklets prior to the event. As well as providing a ‘Welcome Booklet’ before and during the Summit with guidance and advice for the safety, well-being and protection of yourself and your property, we also go through this at the start of the Summit. It is your responsibility to put this guidance in place.

    • You, as the client, understand that attending any activity or service provided by SOAR Summit during the 3 or 5-Day Summit, involves some level of risk. These risks include but are not limited to physical injury or even death. By attending any activity or service provided by SOAR Summit the client agrees to assume these risks and agrees to release and discharge SOAR Summit & it’s Directors, CEO, Organisers, employees, collaborators and founders from any and all claims for liability.

    • Neither SOAR Summit or any of it’s Directors, CEO’s, employees, collaborators, organisers or founders will be liable for any loss, damage or theft of any personal belongings, property or vehicles belonging to the client/attendee during the 5-Days of SOAR Summit at any location, including at the accommodation.

    • It is the sole responsibility of the attendee/client to purchase full and adequate medical, personal injury and holiday insurance for the full duration of their SOAR Summit.

    • All SOAR Summit attendees must refrain from any illegal act or any conduct unbecoming a SOAR Summit attendee, conduct or language which may give offence to a SOAR Summit team member, the accommodation and people/businesses/sponsors associated with SOAR Summit or any act which may cause damage to property or bring SOAR Summit into disrepute in any way; the SOAR Summit brand, name and standing in the community or to the future partnerships and relationships of businesses that SOAR Summit associates with and depends on. If SOAR Summit organisers and team become aware of any such act/conduct the SOAR Summit team may, at their absolute discretion, ask the attendee to leave the Summit, accommodation and resort event venue. This will be without refund or compensation to the attendee. SOAR Summit will have no further responsibility or liability to the attendee.

  1. Rights During the Event

    • Further to the last above-mentioned point, we may decline to retain an attendee during the event if their behaviour is deemed to be inappropriate, disruptive, disrespectful or unruly or if they, their words and actions are having a detrimental impact on other attendees and the integrity of the SOAR Summit Event. This will be at the sole discretion of the organisers and in keeping with the positive, uplifting, supportive integrity of the event.

    • No refund or transfer will be given to this attendee.

    • They will be expected to leave both the event and the accommodation resort immediately as the event is run using the whole resort, so as to keep a positive environment for other attendees.

    • NB: We make every attempt prior to accepting payment and filling the spaces to interview the attendees to determine whether they are a fit for the SOAR Summit attendees.

    • If you arrive late or need to leave your retreat or training early, you will not receive any refund on the remaining time of your scheduled stay, nor will new extra activities be provided to you. It is your responsibility to manage your time, your arrivals, and departure timings. We send you information brochures and documents providing guidance and recommendations for arrivals and departures and allowances of time.
